The Kearoa marae committee is accountable for health and safety for all users of the marae. The following booking guidelines aim to set clear parameters to manage potential risks and ensure health and safety is maintained for all users.
The Kearoa Marae Committee has identified some potential risks/hazards (see next page). One potential risk is the Pokaitu river, especially when schools and youth groups are working towards outdoor education goals. Each group is asked to supply the information about the activities to be undertaken at Kearoa marae, and details covering risk assessment, hazard management, including the supervision of children and responsible adults with their roles and responsibilities.
Marae bookings will be confirmed following approval of this booking information by the marae committee. Bookings need to be made early to allow for this approval process.
Please provide the following information as part of your booking at Kearoa marae when children/young people are part of your school/group staying at the marae.
State numbers of young people and adults who will be staying at Kearoa marae, the key contact person and contact details
Identify people who will have roles and responsibilities to keep children/young people safe
Provide details about the activities planned at Kearoa marae during your stay, the reasons and goals for each activity
A site map of where the proposed activities will be undertaken and how children/young people will be managed
Identify potential risks/hazards (use information below) and how these may impact the planned activities and young people who take part
Clearly identify responsible adults and how they will manage potential risk/hazard situations
In the event of an incident that may occur during the activities, describe steps to be taken to seek help/support and who will be sent incident reports. This should include making contact with the Secretary of the Kearoa marae committee as that group that has overall accountability.
Use of portable fence (wire or tape) and stakes to create a physical barrier to keep young people at least 1.5 metres away from the river (alternatively use of road cones and tape)
Maintain a safe adult/child ratio for all activities
The Kearoa marae committee would appreciate a clear indication of when each group aims to arrive and leave the marae to help facilitate management of bookings.
All users of the marae must make themselves aware of these risks/hazards and ensure that everyone takes care in relation to those areas. People using the marae are responsible for their own health and wellbeing while at Kearoa marae.
